Enjoy a smooth move with our guide

Moving home is one of the most stressful times in anybody’s life and moving offices is no less so.

Managing the relocation of your office communication is a significant undertaking and as communications are an integral part of most businesses, it is important that it goes smoothly.

Maintain business as usual when your organisation moves offices, with our 10 point ‘Moving Office Communications’ guide.

1. Audit Your Current Services

Make a thorough audit and listing of all your phone lines, internet access, fire and burglar alarm lines, credit card, fax and postage machines. Figure out what you have now and if that need will change at your new location. Consider possible new requirement that should be encompassed into the move such as mobility requirements, home working and business continuity and disaster recovery.

2. Evaluate Service Providers

A move is a great time to check other service providers to see what is available, possibly saving you money, adding functionality and upgrading your services.

3. Schedule Network Services

Do this at least 30 days in advance of your move. Remember you can retain your existing telephone numbers or redirect them to new numbers if required.

4. Create a Floor Plan of Your New Site

Note cable requirements, the number of telephone lines and user extension numbers.

5. Schedule Voice and Data Cabling

This should be done in conjunction with other construction. If no construction is needed, schedule a survey with your equipment provider.

6. Evaluate Phone System Options

This is a great time to upgrade to a new system and save the cost of moving your current system. Opus can provide a free no cost and no obligation communication assessment.

7. Schedule Phone System Move

Schedule move and purchase additional equipment as needed. Opus can handle moving and installing your current system, even if you didn’t buy it from us.

8. Review Current Voicemail Greetings

Make sure you include a mention of your move and your new address.

9. Review Phone Ring Patterns

Decide if new location has different requirements for different employees.

10. Notify Staff

Set up a short meeting with your staff so they are aware of everything involved in the communication system move, including the schedule and update with any changes. This will help avoid any missed customer contacts. Should your require training on existing or new equipment, we are able to support you with that.
